- Add your team and stores
- Register products and print tags
- Connect scanners
- Connect your tills
- Phones and the app
- When the network is down
- A normal day
- If something goes wrong
1. Sign up and pay
- Open Get started. Enter your brand name, your name and your email.
- Choose a plan: Starter (R150 a month, up to 500 new items a month) or Growth (R350 a month, up to 5,000). Tick Pay for a year up front to skip the once-off onboarding fee.
- Tick that you accept the Brand Agreement, terms and privacy policy, then press Continue to payment.
- Pay your first invoice by card with PayFast, or by EFT using the reference shown. EFT is switched on when the money arrives. Payment questions: accounts@prodidcheck.co.za.
- Leave the page open. It notices your payment by itself and shows your account token. Keep it private. It works once and lasts 14 days.
We check every new brand before it can register items, so nobody can pose as someone else’s label. This usually takes one working day. You can create your account while you wait.
2. Create your account
- Press Create your account on the payment page, or open claim.html.
- Paste your token and choose a password of at least 10 characters.
- Go to Sign in. Use your sign-up email and the new password.
- Set up two-step sign-in with an authenticator app on your phone, as asked. Save the recovery codes somewhere safe.
3. Add your team and stores
- Team tab: add each person with their email, a role and a temporary password. They must choose their own at first sign-in.
- Stores tab: add each store with its name, city, and the email and temporary password of its store manager. Stores get their own sign-in, and a store sees only its own stock.
- Tell each person to turn on two-step sign-in the first time they sign in.
4. Register products and print tags
- One product: on the Register tab, enter the SKU and name, then press Generate ID code.
- Your whole range: on the same tab, upload a CSV file with the columns sku, name, description, quantity. Every single item gets its own ID code and QR.
- Printing: print the QR on the tag or label before the item leaves the production line. If your printer cannot print a QR, print the code-only label.
- Photo: add a photo to each style at the bottom of the Register tab. Shoppers see it when they check a code.
5. Connect scanners
A USB or Bluetooth barcode scanner types like a keyboard. Nothing has to be installed for it to work with ProdID-Check.
- Plug the scanner into the computer, or pair it by Bluetooth. Scan into Notepad to confirm it types.
- Make sure the scanner is set to read QR codes. Most are by default. If scanning a tag types nothing, scan the QR setting in the scanner’s manual.
- Dispatch many at once: on the Dispatch tab use the Scan station. Choose the store, click the scan box, then scan each tag. A beep means it worked. A low buzz means it did not.
- Receive many at once: in the store, press Scan station at the top of the page, choose receive, and scan each tag.
6. Connect your tills
Option A: no developer (Windows till computers)
- Open the till helper page and download the zip.
- Unzip it into a permanent folder, for example
C:\ProdID-Till-Helper. - Double-click Install.bat. If Windows says “Windows protected your PC”, choose More info, then Run anyway.
- On the till computer, open ProdID-Check in the browser, sign in as the store and leave it open.
- Scan a tag. The sale form opens by itself. The teller types the buyer’s name, ticks that the buyer agrees, and presses Register sale. The handover slip prints by itself on the till’s receipt printer (80 mm paper). Give it to the buyer with the till slip.
Your own till barcodes keep working as normal.
Option B: your till or stock system talks to ProdID-Check (for a developer)
- On the Integrations tab, name a key (for example “Till 1”) and press Create key. Copy it at once. It is shown once. Make one key per system so you can stop one without touching the rest.
- The system sends the key in an
X-Api-Keyheader with each request. The main calls arePOST /v1/products/dispatch,/receiveand/sell. - Ask us and we will send the technical guide. Write to info@prodidcheck.co.za.
7. Phones and the app
- The Android app opens on a check screen. Staff sign in with their own email and password.
- Staff can scan with the phone camera. Pick scan many to register, dispatch or receive a whole batch. A tag scanned twice within 3 seconds counts once.
- Set a screen lock on every work phone. The app will not stay signed in without one.
- Lost or stolen phone? Sign in on the website, open Account and press Sign out all devices. Admins can do this for staff too.
8. When the network is down
You can keep working. Registering, dispatching, receiving and selling are saved on the device and sent by themselves when the connection returns, in the right order. A bar at the top shows what is waiting. If a device must be switched off before it has synced, use Save waiting items to a file and load them again later.
9. A normal day
- Factory: register products, print tags, stick them on, dispatch to a store.
- Store: receive the stock when it arrives.
- Till: scan, type the buyer’s name, register the sale. The buyer gets the handover code.
- Shoppers: check any tag free on the verify page, or with the app.
- Your website: add the verify badge from the Website tab.
10. If something goes wrong
- Scanner types nothing: scan into Notepad. If it still types nothing, it is the scanner or its cable.
- Sale form does not open: check the helper is installed, the browser is open and the store is signed in.
- Forgot your password: ask info@prodidcheck.co.za.
- Invoice question: accounts@prodidcheck.co.za.
